Overview

Ask Z is the assistant workspace inside Z360. It can answer questions, inspect business context, help with operational work, and guide changes to pipelines, abilities, actions, contacts, conversations, tickets, settings, and knowledge content. The current Ask Z experience includes expert modes, custom experts, reasoning levels, approval prompts, generated file previews, thread history, and a file tree for reviewing artifacts created during the conversation.

Choose an Expert Mode

Ask Z can work in several focused modes. You can start with a plain-language request. If the work belongs in a more specialized area, choose the expert mode that matches the task.

Use Custom Experts

AI Studio can also include custom experts created by your team. Custom experts have their own name, icon, description, prompt, allowed tools, and trigger settings. Use a custom expert when the work should follow a specialized process, such as reviewing support requests, preparing a recurring sales report, or responding to a connected app event. Custom experts can run from chat, on a schedule, or from supported external triggers. See Create and Automate Custom AI Experts for the full setup flow.

Review Ask Z Threads

Ask Z thread history shows previous chats so you can return to ongoing work. Threads can show the active expert, be searched, filtered for attention when supported, and archived when they no longer need follow-up. Keep one thread focused on one outcome so the thread history stays easy to review later.

Choose a Reasoning Level

Ask Z includes three reasoning levels: Use Thorough when the cost of a mistake is high, such as editing a live pipeline flow, diagnosing dashboard behavior, or building an ability with multiple branches.

Review Approval Prompts

Ask Z shows an Approval required prompt before certain actions continue. This is especially important for destructive actions such as deleting records. Approval prompts can include a clearer action name and readable details so you can review what Ask Z is about to do before you approve or reject it. When you see an approval prompt:
  1. Read the action name, description, and any displayed action details.
  2. Confirm the target record, workflow, or setting.
  3. Click Approve only when the change is correct.
  4. Use Reject when the action is wrong or risky. You can include a short reason so Ask Z can adjust.
For deletions, the prompt clearly indicates that approval lets the agent permanently delete the target. Rejecting keeps it unchanged.

Answer Follow-Up Questions

Ask Z may ask a follow-up question when it needs a missing detail before continuing. Review the choices, pick the best option, or enter a custom answer when the listed options do not match what you need. Use follow-up questions for tasks such as choosing a pipeline, selecting an integration account, confirming a record, or deciding how a workflow should be updated.

Use File and Artifact Previews

Ask Z can create or update files while working. Generated files appear as inline artifact cards in the conversation. Use these controls to review generated work:
  • Click an inline artifact card to open the file preview.
  • Use the file tabs to switch between opened files.
  • Use the File tree toggle to browse all generated files by folder path.
  • Close file tabs you no longer need.
  • When more than five artifacts are attached to a message, expand the list to show the rest.
The file preview is useful for generated reports, pipeline or ability previews, HTML previews, and other structured outputs.

Review Tool Previews

Ask Z can show tool previews while it works. These previews help you understand which Business Manager action, search, integration, or builder step is running without needing to read raw tool names. Use tool previews to check:
  • Which record or setting Ask Z is about to inspect or change
  • Whether the action belongs to the right expert mode
  • Whether a search is broad or narrow enough
  • Whether the result summary matches your request
For larger searches, Ask Z may include total counts only when they are useful. Everyday searches stay faster, while deeper reviews can still show the scale of matching records.

Use Pipeline Builder Safely

Use Pipeline Builder when asking Ask Z to inspect or change inquiry pipelines. Good requests include:
  • “Show me how this pipeline handles follow-ups.”
  • “Review this pipeline before I publish it.”
  • “Add a call step after qualification and preview the result.”
  • “Explain which channels this pipeline uses and whether daily limits apply.”
Before approving or publishing pipeline changes, review:
  • Stages and sources
  • Intake fields and required fields
  • Communication channels
  • Schedule and daily proactive limits
  • Follow-up gaps and maximum follow-up counts
  • Call nodes and whether they use the default phone channel
  • Any generated preview or file artifact
Ask Z can also read and explain pipeline follow-up settings, including maximum follow-up counts and follow-up gaps on supported pipeline nodes.

Use Ability Builder Safely

Use Ability Builder for AI Studio abilities. Ask Z can help with:
  • Explaining an existing ability flow
  • Building or revising Ask, Speak, Condition, Act, End, and Subflow nodes
  • Checking action parameters before an Act node is used
  • Previewing branches and outcomes
  • Testing whether the draft matches the intended customer experience
Review any generated ability preview before applying changes. Pay extra attention to action nodes that call integrations or modify Z360 records.

Use Business Manager for Operational Work

Use Business Manager for everyday Z360 tasks such as finding records, summarizing conversations, reviewing contacts, checking tickets, and answering settings questions. Business Manager is also the right mode when the work cuts across modules, such as “show me all context for this customer” or “why did this lead stop receiving follow-ups?” Business Manager can also work with contact custom fields. Use it to view, create, update, and search configured contact fields when you need structured contact automation. Ask Z can discover each field’s ID, type, options, and required status before using it in contact actions.

Use Memory for Durable Context

Ask Z can use durable organization and teammate context. In AI Studio > Memory, authorized teammates can review semantic memory that is loaded every turn and episodic memory that is available on demand. Use memory for stable preferences, rules, or context that Ask Z should remember beyond a single chat. Do not use it for temporary notes or sensitive information that should not be reused. Ask Z can help with A2P 10DLC workflows when you need a guided path through phone compliance setup. Ask Z can help you:
  • Check registration status.
  • Review brand and campaign details.
  • Prepare brand or campaign submissions.
  • Understand campaign errors.
  • Appeal eligible failed campaigns.
Always review the information before submission. A2P brand and campaign details should match your legal business records and your actual message use case.

Use Deep Research for Larger Questions

Use Deep Research when you need a broader investigation or a more complete recommendation. Examples include comparing performance across a longer period, researching a market or vendor, or pulling together context before making a strategic decision.

Best Practices

  • Use Balanced for routine work and Thorough for pipeline, ability, or troubleshooting tasks.
  • Ask for a preview before changing live workflows.
  • Review artifact files before relying on generated content.
  • Use tool previews to confirm Ask Z is working on the right record, field, or workflow.
  • Use custom experts for repeatable specialist work instead of overloading one general thread.
  • Review memory when Ask Z keeps using outdated or incomplete context.
  • Approve destructive actions only after checking the exact target.
  • Keep one Ask Z thread focused on one business outcome.
