Setting up your organization in Z360 is easy and straightforward. This guide walks you through starting a free trial, managing your subscription, adding team members, and customizing your organization’s identity. By the end of this tutorial, you’ll be ready to manage your Z360 organization with ease.Start a Free Trial or Subscribe to Z360
Starting Your Free Trial
- Create Your Account
Visit beta.z360.biz and sign up by either filling in your details and clicking Create Account or by using Google OAuth for a quicker sign-up. - Choose Your Plan
After signing up, you will be prompted to either start a Free Trial or subscribe to a monthly recurring plan. - Start Your Free Trial
Click Try Pro for Free to begin your 14-day free trial with full access to Z360 Pro features. - Enter Payment Information
You will be redirected to the Stripe checkout page to enter your payment details. You can pay via credit/debit card or use Cash App Pay if available. - Enter Promo Code (Optional)
If you have a promo code, you can enter it for additional discounts by clicking Add Promotion Code before proceeding. - Complete the Transaction
Fill in your card details and ensure the card is valid for smoother transaction processing. Once done, click Subscribe to activate your free trial.
Subscribing to a Monthly Plan
- Click Subscribe Now
If you decide to skip the trial and directly subscribe, click Subscribe Now on the payment page. - Complete Payment
Enter your payment information and, if applicable, use a promo code before confirming your subscription by clicking Subscribe.
Adding Team Members to Your Organization
Once your subscription is active, you can start adding team members to your organization.
- Go to Settings
Navigate to Settings → Team & Security to manage team members and roles. - Click on Team and Security
Click Team & Security to proceed to the next section for managing team members. - Invite New Team Members
- Click Invite New Member and enter the email address of the person you want to invite.
- Choose their role (Owner, Admin, or Member).
- For members, review What can this member see? and choose the access scope that matches their work.
- Click Send Invitation to send an invite to the team member.
- Manage Existing Team Members
You can also view, edit, or remove members from your organization. Click a team member card to open their profile, or use Edit Role to change role and access. When editing a member, review their visibility and AI Studio access before saving.
Review Team Member Profiles and Presence
Team member cards show role, job title when set, and presence so admins can quickly see who is online. Open a member profile when you need a fuller view of that teammate’s work. The profile can show:- Role and job title
- Online or offline presence
- Last active time
- Assigned conversation, ticket, and lead counts
- Recent assigned conversations
- Recently created tickets
- Recent activity in the organization
Changing Your Organization’s Identity
As an organization owner, you can customize your organization’s identity, including the name and logo.- Go to Team & Security
In the Settings section, go to Team & Security. - Edit Organization Name and Logo
In the Team & Security section, you’ll find options to edit your organization’s name and upload a new logo. Make the necessary changes and click Save. Uploaded organization icons appear in the organization switcher so teammates can identify the workspace quickly.
Leave or Delete an Organization
Members can leave an organization from the organization switcher when they no longer need access to that workspace.- Open the organization switcher.
- Choose the organization you want to leave.
- Select Leave organization.
- Confirm the organization name before leaving.
Roles and Permissions
Z360 offers three main roles that can be assigned to team members:- Owner: Full access, including billing and team management.
- Admin: Can manage everything except billing.
- Member: Has access only to their assigned tasks and items they’ve created.
For channel-based scopes, choose Visible channels or Excluded channels from email, phone, and fax channels. Because Livechat does not use a specific channel record, set the Livechat option separately. Use Always show what is assigned to them when assigned work should remain visible even outside the selected channel rule.
Use Allow access to AI Studio when a member should be able to open AI Studio settings and the AI Studio dashboard. Keep it off for members who only need customer-work access.
Tips
- Role Assignment: Be mindful when assigning roles. Owners have full access to everything, so it’s important to limit this to trusted individuals.
- Review Member Scope: For members, start with assigned work or selected channels, then expand access only when their responsibilities require it.
- Check Profiles Before Reassigning: Use team profiles and presence to understand current workload before moving conversations, tickets, or leads.
- Team Invitations: Always check the Invitations section to manage pending invites. You can edit or cancel invitations before they’re accepted.
- Trial Period: Make the most of your 14-day Free Trial by exploring all features and testing the platform with your team before transitioning to a paid plan.
- Logo Customization: Customize your organization’s logo to make your brand stand out, especially when your team or clients interact with your Z360 workspace.
- Review Before Deleting: Delete an organization only when the workspace is no longer needed and your team has reviewed phone numbers, channels, and billing.
