Creating Contacts
1. What information is required to create a contact?At minimum, add the contact’s first name. Depending on your organization’s settings, you may also need to complete required custom fields before the contact can be saved. You can optionally add:
- Last name
- One or more email addresses
- One or more phone numbers
- A linked company
- Profile image
- Tags
- Custom field values
Yes. Email and phone are optional unless your organization has added a required custom field for that information. Add at least one contact method when you plan to call, text, or email the contact. 3. Can I link a contact to a company while creating the contact?
Yes. Turn on Link to a company?, then choose an existing company or create a new one from the contact form. New companies can include a name, website, and logo. 4. What image formats are supported for profile pictures?
Z360 supports common image uploads such as JPG, PNG, GIF, and WebP for related avatar or logo uploads, depending on the field you are editing. 5. What are tags used for in contacts?
Tags help you categorize contacts, filter lists, and keep team-specific labels such as Lead, Customer, VIP, Renewal, or Escalated.
Contact Methods
6. Can a contact have multiple phone numbers or email addresses?Yes. Use the Emails and Phone Numbers sections on the contact form to add multiple rows. 7. What is the primary email or primary phone?
The primary value is the main email or phone Z360 shows in contact lists and uses as the contact’s primary method. If there is only one value, Z360 can choose it automatically. If there are multiple values, select the primary row before saving. 8. Why do I see a
+n badge beside an email or phone?That contact has additional emails or phone numbers beyond the primary value shown in the list. Open the contact to review the full set. 9. Can two contacts share the same email or phone number?
No. Z360 validates contact methods so an email or phone number already assigned to one contact cannot be assigned to another contact in the same organization.
Custom Fields
10. What are contact custom fields used for?Custom fields store information specific to your workflow, such as customer type, account number, preferred service, renewal date, address, qualification status, or billing amount. 11. What custom field types are available?
Admins can create Text, Long Text, Number, Currency, Date, Dropdown, Multi-select, Yes / No, Secondary Email, Secondary Phone, and Address fields. 12. Can custom fields be required?
Yes. Required fields must be filled before the contact can be saved. Keep required fields limited to information your team always needs. 13. Can I filter contacts by custom fields?
Yes. Z360 adds custom fields to contact filters. Text fields use text search, numbers and currency use ranges, dates use date ranges, dropdowns use select filters, and multi-select fields use multi-select filters. Can Ask Z use contact custom fields?
Yes. Ask Z can view, create, update, and search contact custom fields when the fields exist in your organization. It can check field IDs, field types, allowed options, and required flags before using the fields. Use the configured field name and, for dropdown or multi-select fields, use one of the allowed options.
Viewing & Navigation
14. How can I view my contacts in different layouts?Use the available list or card views to scan contacts. Card view is useful for quick browsing, while table-style views make contact methods and columns easier to compare. 15. What information can I see inside a contact profile?
A contact profile can show contact methods, company, custom fields, tickets, notes, reminders, conversation threads, activities, and tags.
Searching and Sorting
16. What fields can I search contacts by?You can search by contact name, email address, and phone number. 17. How can I sort contacts?
Use the contact list sort controls to sort by the options available in your workspace, such as name or when the contact was added.
Editing & Deleting Contacts
18. Can I edit contact details after creating a contact?Yes. Open the contact and click Edit to update names, company link, contact methods, tags, avatar, and custom field values. 19. What happens when I delete a custom field?
Deleting a custom field removes the field definition and its existing values from contacts. Use deletion carefully. 20. Can I delete a contact?
Yes, but contact deletion is permanent and cannot be undone.
