Overview

A well-organized knowledge base helps agents and AI respond accurately and efficiently. In Z360, you can build a knowledge base by creating files and folders, uploading documents, syncing updates, and scraping your website automatically. This guide walks you through all available ways to set up and manage your knowledge base.

Access the Knowledge Base

  • Navigate to Knowledge Base
    From your Z360 dashboard, click Knowledge Base to open the knowledge management area.

Create and Manage Files

  • Create a New File
    Click Create File to add a new document to your knowledge base.
  • Enter File Title
    Provide a clear and descriptive title so agents and AI can easily identify the content.
  • Create the File
    Click Create File to finalize file creation.
  • Open and Edit File
    Click Open or double-click the file to start adding content such as FAQs, policies, or support instructions.
  • Save File Content
    Click Save after entering or updating content.

Organize Files and Folders

  • Return to Root Directory
    Click Root to view all folders and files in one place.
  • Create a Folder
    Click Add Folder to organize content into categories like Product Info, Support Docs, or Pricing.
  • Name the Folder
    Enter a folder name that clearly reflects its purpose.
  • View Folder Contents
    Click Open or double-click a folder to view and manage its files.

Upload Files from Your Device

  • Upload Existing Files
    Click Upload File to add documents from your local device.
  • Select File
    Choose the file you want to upload (e.g., PDFs, text files, guides).

Scrape Your Website Automatically

Z360 allows you to scrape your website and automatically convert it into a structured knowledge base.
  • Scrape Website
    Click Scrape Website in the Knowledge Base section.
  • Enter Website URL
    Provide the full URL of your website (for example: https://yourcompany.com).
  • Start Scraping
    After submitting the URL, Z360 begins crawling and extracting your website content.
  • Processing Time
    Website scraping typically takes 5–10 minutes, depending on the size of your site.
  • Organized Knowledge Creation
    Once completed, your website data is:
    • Automatically structured into files and folders
    • Cleaned and organized for AI and agent usage
    • Ready to be synced and used immediately
This allows your AI agents to answer questions using your live website content without manual copy-paste.

Synchronize the Knowledge Base

Sync Knowledge Base
After adding, uploading, or scraping content, click Sync to update the knowledge base.
Syncing ensures:
  • Agents access the latest information
  • AI uses the most up-to-date content
  • Website-scraped data becomes available for responses

  • Use Website Scraping First: Scraping your site is the fastest way to build a complete knowledge base.
  • Organize with Folders: Group files logically so both humans and AI can find information easily.
  • Keep Content Updated: Re-scrape your website or update files whenever your content changes.
  • Sync After Changes: Always click Sync after edits, uploads, or scraping.
  • Clear Titles Matter: Use simple, descriptive file names for better AI understanding.
