Overview

Prepaid billing gives your organization a wallet balance for billable Z360 usage. Use the wallet pages to add funds, monitor current usage, control monthly spend, and download statements for closed months. Prepaid billing is enabled gradually. If you do not see Wallet, Wallet Settings, or Statements under billing yet, your organization may still be on postpaid billing or waiting for prepaid access to appear.

Open the Wallet

  1. Open Settings.
  2. Go to Billing.
  3. Select Wallet.
The wallet page shows:
  • Current balance
  • Plan credit, when your plan includes monthly usage credit
  • Top-up balance, when you have added prepaid funds
  • Usage this month
  • Monthly spend cap progress when a cap is enabled
  • Recent wallet activity with activity, amount, balance after, and date
Usage charges are grouped by day in Recent activity. Click View details on a usage row to open Usage Logs filtered to that day, where you can review the individual line items behind the rollup. Plan credit is used for included monthly usage and can expire at the end of the plan period. Top-up balance comes from added funds and remains available according to your billing terms. Review both balances before adding more funds or retrying paused work.

Add Funds

  1. Open Billing > Wallet.
  2. Click Add funds.
  3. Choose a preset amount, such as 10,10**, **20, or $50, or enter a custom amount.
  4. Click Continue to payment.
  5. Complete payment in the secure Stripe checkout flow.
The minimum add-funds amount is $5. After payment succeeds, return to Z360 and review the updated wallet balance.

Configure Auto-Recharge

Use auto-recharge when you want Z360 to refill the wallet automatically before the balance reaches zero. Wallet Settings explain what each funding and usage-control field does so your team can choose limits with more confidence.
  1. Open Billing > Wallet Settings.
  2. Find Auto-recharge.
  3. Enter the balance threshold in Recharge when balance falls below (USD).
  4. Enter the refill amount in Recharge amount (USD).
  5. Click Save automatic funding.
Choose a threshold that gives your team enough room for normal messaging, calling, AI, and integration activity.

Set a Usage Alert

Use a monthly usage alert when your team wants a warning before usage gets too high.
  1. Open Billing > Wallet Settings.
  2. Find Usage alert.
  3. Enter the monthly amount in Notify me when monthly usage reaches (USD).
  4. Click Save usage limits.
Review usage alerts alongside Billing > Usage Logs so you can see which usage types are driving the total.

Set a Monthly Spend Cap

A monthly spend cap pauses new billable usage when your organization reaches the selected limit.
  1. Open Billing > Wallet Settings.
  2. Find Monthly spend cap.
  3. Enter the cap in Pause new billable usage at (USD).
  4. Click Save usage limits.
When the spend cap is reached, billable actions such as new outbound calls, messages, faxes, Ask Z work, and connected app usage can pause until the cap is adjusted or the next billing period starts.

Understand Paused Usage

Z360 checks prepaid wallet limits before starting billable work. If the wallet balance is depleted or the monthly spend cap is reached, affected actions can pause instead of creating new charges. Paused usage can include:
  • Outbound browser calls
  • SMS messages
  • Faxes
  • Ask Z and AI Studio work that creates billable usage
  • Connected app activity that creates billable usage
If a message or fax was already queued when the limit was reached, Z360 can mark it as skipped or failed with a wallet or spend-limit reason. Add funds or update the monthly spend cap before retrying the work.

Download Monthly Statements

  1. Open Billing > Statements.
  2. Review the list of closed-month statements.
  3. Click Download PDF for the month you need.
Statements appear after a calendar month closes. If your organization recently moved to prepaid billing, the first statement may not appear until the current month is complete.

Best Practices

  • Keep enough wallet balance for high-volume calling, messaging, Ask Z, and connected app workflows.
  • Turn on auto-recharge before running campaigns or scheduled AI work.
  • Use a monthly spend cap when the budget is strict and paused billable usage is acceptable.
  • Check wallet balance and spend cap settings before sending high-volume messages or faxes.
  • Download statements after each closed month for accounting records.
  • Use View details from wallet activity when investigating a specific day of spend.
  • Check whether spend used plan credit or top-up balance before reconciling invoices.
  • Compare wallet activity with Billing > Usage Logs when investigating broader spend trends.
